Overview
By default, automated assignments use Auto-Enroll to continuously add new qualifying learners. This article walks you through switching an assignment from dynamic (auto-enroll) to static (one-time population) — no new learners will be added, but everyone currently enrolled stays active and continues progressing through the training.
ℹ️ What stays the same All learners currently enrolled in the course will remain enrolled. Only the automatic addition of new learners is stopped.
When to Use This
Here are common scenarios where turning off Auto-Enroll makes sense:
Adding the team but they don't need training yet You're onboarding a new team into the system, but the training assignment isn't relevant until a future date or milestone. Turning off auto-enroll lets you add the team without triggering the course for them immediately.
Closing enrollment after a compliance deadline A required training campaign (e.g., Harassment Prevention) had a deadline. After it passes, freeze the roster so late joiners aren't automatically added to the same assignment cycle.
Running a pilot or test group You've enrolled a specific subset of learners for a trial of new content. You don't want the broader organization pulled in until the pilot is complete and the course is approved.
Seasonal or role-based training cycles Training runs on a defined schedule (e.g., quarterly). Once a cycle's enrollment window closes, freeze the list and restart a new assignment with auto-enroll for the next cycle.
Restructuring or org changes During a reorganization, new employees may temporarily meet the auto-enroll criteria. Turning it off prevents unintentional enrollment while the org structure is being updated.
Step-by-Step Instructions
Follow these steps on any existing automated assignment (e.g., a Harassment Prevention core learning assignment).
Step 1 — Open the Assignment for Editing Navigate to the automated assignment campaing you want to update. Click Edit
Step 2 — Go to Manage Learners Inside the editor, click Manage Learners. This is where all enrollment rules are configured.
Step 3 — Download the Current Learner CSV A CSV of all currently enrolled learners will be displayed under Ongoing Auto Enroll Rules. Click the blue Download CSV button to save this file to your computer.
Step 4 — Select "One-Time Population" Instead of clicking Ongoing Auto-Enroll Rules, choose One-Time Population. This switches the assignment from dynamic to static enrollment.
⚠️ Do not select "Ongoing Auto-Enroll Rules" — that would keep auto-enroll active.
Step 5 — Upload the CSV Upload the same CSV by clicking the blue Upload CSV button. This preserves every existing learner's enrollment without triggering any new auto-enrollment logic.
Step 6 — Click "Review and Save Campaign" Click Review and Save Campaign to apply your changes. The assignment updates immediately.
Result
✅ Your campaign is now static All currently enrolled learners remain active in the course. No new learners will be added automatically going forward.
💾 Tip: Save your CSV Keep a copy of the downloaded learner CSV. If you need to restore this exact group later, you can simply upload it again without rebuilding the list from scratch.
Re-Enabling Auto-Enroll
If you want to start adding learners automatically again in the future, you have two options:
Switch back to Ongoing Auto-Enroll Rules Go back to Manage Learners and select Ongoing Auto-Enroll Rules. Define your rules and save — new qualifying learners will be added automatically from that point on.
Manually add new learners Stay on One-Time Population and upload a new CSV that includes any additional learners you want to add. This keeps you in full manual control of who is enrolled.
