By default, recurring Ethena training campaigns are delivered on a consistent date each year across your organization. This allows for ease of internal communications and completion reporting. However, some orgs prefer to train team members based on their hire anniversary date. Follow the instructions below if you’re interested in that route.
Step 1: Reach out to your CSM or support@goethena.com.
This solution requires multiple Ethena Training Campaigns. Please reach out to your CSM or support@goethena.com and request that they enable multiple Ethena Training Campaigns for your account.
💡 Ethena Tip: We control this setting to ensure you don’t accidentally send duplicate trainings to individuals! Please follow the below steps carefully and reach out to us with any questions.
Step 2: Determine your training cadence.
This solution requires a separate campaign for each training cohort. Most of our customers interested in an anniversary date model will choose to batch these cohorts quarterly or monthly; there’s a small amount of manual work you’ll need to do before each new cohort begins, so the fewer cohorts you choose, the easier it will be.
If you choose monthly, you’ll need to set up 12 campaigns. If you choose quarterly, you’ll need to set up 4 campaigns.
Step 3: Set up your campaigns.
Set up your campaigns as follows:
Cohort | Training Date | Repeat Training | Manage Learners | Deferral |
January February March … |
1/1/25 2/1/25 3/1/25 … |
Ethena recommendation | One-Time Population; upload CSV of existing employees with that month’s start date | Release immediately |
For the campaign of the month that you’re currently in, choose “Ongoing Auto-Enroll Rules” rather than “One-Time Population.” Upload a CSV to include the existing employees with this month’s start date.
Step 4: At the start of each month, enable auto-enroll for that campaign.
On the 1st of each month, take the following steps:
- Open the prior month’s campaign and change the Manage Learners setting from “Ongoing Auto-Enroll Rules” to “One-Time Population.”
- Open the new month’s campaign and do the opposite; change the Manage Learners setting from “One-Time Population” to “Ongoing Auto-Enroll Rules.”
This will ensure that any new hires who come on board during that month are automatically enrolled into the corresponding campaign for their start date.
