By default, recurring Ethena training campaigns are delivered on a consistent date each year across your organization. This allows for ease of internal communications and completion reporting. However, some orgs prefer to train team members based on their hire anniversary date. Follow the instructions below if you’re interested in that route.
Step 1: Reach out to your CSM or support@goethena.com.
This solution may require multiple Ethena Training Campaigns. Please reach out to your CSM or support@goethena.com and request that they enable multiple Ethena Training Campaigns for your account.
💡 Ethena Tip: We control this setting to ensure you don’t accidentally send duplicate trainings to individuals! Please follow the below steps carefully and reach out to us with any questions.
Step 2: Adjust your team member list.
This step varies a bit depending on how your users are managed in Ethena.
- If your users are managed via CSV, populate your Custom_Category column with your team members' hire month. The value should only include the month name or number, and not the full date or year. For example, January hires should return a value like '01', '1', or 'January'.
- If your users are managed via Workday, reach out to support@goethena.com. We'll work with you to add in a custom field that populates with a user's hire month.
- If your users are managed by an HRIS integration other than Workday, skip to the 'Manual management' section below.
Step 3: Determine your training cadence.
This solution requires a separate campaign for each training cohort. Most of our customers interested in an anniversary date model will choose to batch these cohorts quarterly or monthly; there’s a small amount of manual work you’ll need to do for each campaign, so the fewer cohorts you choose, the easier it will be.
If you choose monthly, you’ll need to set up 12 campaigns. If you choose quarterly, you’ll need to set up 4 campaigns.
Step 4: Set up your campaigns.
Set up your campaigns as follows. Please note that instructions differ depending on your user management configuration.
For customers whose users are managed via Workday & CSV:
Cohort | Training Date | Repeat Training | Manage Learners | Deferral |
January February March … |
1/1/25 2/1/25 3/1/25 … |
Ethena recommendation |
Ongoing Auto-Enroll Rules; add filter for hire month (e.g. Hire Month is January) |
Release immediately |
This will ensure that any new hires who come on board during that month are automatically enrolled into the corresponding campaign for their start date. No manual management is required on an ongoing basis.
Your setup is now complete! If you use Workday or CSV upload, you can disregard everything below. Please reach out to support@goethena.com with any questions.
For customers whose users are managed via another HRIS integration:
Cohort | Training Date | Repeat Training | Manage Learners | Deferral |
January February March … |
1/1/25 2/1/25 3/1/25 … |
Ethena recommendation |
One-Time Population; upload CSV of existing employees with that month’s start date |
Release immediately |
Each month or quarter's assignment should include a CSV upload of users who joined the company during that month or quarter.
For the campaign of the month that you’re currently in, choose “Ongoing Auto-Enroll Rules” rather than “One-Time Population.” Upload a CSV to include the existing employees with this month’s start date.
On the 1st of each month (or quarter), take the following steps:
- Open the prior month’s campaign and change the Manage Learners setting from “Ongoing Auto-Enroll Rules” to “One-Time Population.”
- Open the new month’s campaign and do the opposite; change the Manage Learners setting from “One-Time Population” to “Ongoing Auto-Enroll Rules.”
