Ethena conveniently allows you to set up an "auto-scheduler" that will automatically assign recurring core training for your team on a recurring (generally annual) basis. You might use this feature, for example, to schedule annual Harassment Prevention training for your team.
Should you need to change or remove the assignment, you can make adjustments before it is sent out!
In addition to annual recurring core training, you can also create one-time training assignments for your team. For more about one-time assignments, check out this article.
How to add an automated assignment in Ethena
To create a recurring training assignment for a course:
- Head to the Dashboard page of your Admin Hub, and click the + Add Training button.
- Next, choose the course for which you would like to assign annual training.
- Click the Automated Training button.
- In the next screen, you'll have the ability to configure a number of settings related to your annual training:
- Annual training date: Select the first annual training date for your course using the calendar.
Once an assignment is created, learners will then be notified on this date you have chosen. If you do need to make any adjustments to this, you edit the date to push it back or pull it forward should you need to: - Learner enrollment: Next, select which learners you would like to enroll in annual training for this course.
- You can either enroll all learners on the platform or selectively enroll a smaller group via CSV. If you would like any new learners who are added to the platform to automatically be enrolled in this annual training, check the box to do so. If you do not check this box, you will need to manually enroll learners into this annual training.
- Alternatively you can enroll your team with our rule based filters. These allow you to automatically assign to team members based on variables such as:
- Role
- Location
- Department
- Office
- You can either enroll all learners on the platform or selectively enroll a smaller group via CSV. If you would like any new learners who are added to the platform to automatically be enrolled in this annual training, check the box to do so. If you do not check this box, you will need to manually enroll learners into this annual training.
- New Learner/Role Change aka the Deferral period: Next, determine how you'd like course foundations training to be released to new hires or learners who change their role from individual contributor to manager and require additional training.
- If you choose "Release Immediately", all new hires and team members who change from IC to manager will immediately receive their course foundations training immediately.
- If you choose "Defer", all new hires and team members who change from IC to manager will immediately receive their course foundations training, except those who join your team or change their role within the designated deferral period. Let's look at an example:If your annual training date is set to September 1st, and you set a deferral period of 3 months, all new hires and role changes between September 2nd and the next June 1st will receive their assignment right away. A new hire who starts on June 2nd won't receive their course foundations immediately; rather, they'll receive the training on the next annual training date, September 1st.
- Deadline: Next, you'll set a deadline for your team's annual training. The options for the deadline are 30, 60, 90, 120, and 180 days from when the training launches. Note that you are required to set a deadline.
Please note that Deadlines are based on calendar days and not business days. - Continuous learning: You can choose to enable or disable automatic continuous learning content for this course. When enabled, Ethena will automatically assign your team continuous learning throughout the year for this course. If you disable the setting, you will need to manually assign any continuous learning.
- Training reminders: Last, you'll have the option to toggle automatic reminders on or off. When this setting is toggled on, learners will receive automatic reminders to complete outstanding training for this assignment. The frequency of reminders will be in accordance with your account settings (viewable on the Account page of your admin hub).
- Team Insights: Enabling Team Insights will notify managers about their direct reports performance in this assignment. This assignment will appear in the Team Insights reporting section of the Admin Hub. This article goes into detail on what this is: What is Team Insights?
- Annual training date: Select the first annual training date for your course using the calendar.
- To finalize the assignment, click "Assign Training". Your annual training assignment will then be set, and the details can be viewed in your dashboard page. You can make changes to dates and settings from the Dashboard view as well.
